Aidtrade AI Pty Ltd (ABN 44 688 574 165) (“Aidtrade”, “we”, “us” or “our”) is committed to protecting your privacy and handling personal information in an open and transparent way.

This Privacy Policy explains how we collect, use, store and disclose personal information when you:

  • visit our website at https://aidtrade.ai (the “Website”);

  • create an account and use our AI-powered estimation software-as-a-service platform (the “Software”); and/or

  • use an Aidtrade estimator embedded or linked on a business’s website, QR code, or digital communications (the “Estimator”).

This Privacy Policy should be read alongside our Terms and Conditions and End User Licence Agreement (EULA), which describe how the Software and Estimator work and the role of businesses using our platform.

1. Who this policy applies to

This Privacy Policy applies to:

  1. Website Visitors – people who browse our Website.

  2. Business Customers – businesses and individuals who sign up for an Aidtrade account and use the Software.

  3. End Users – individuals who use an Estimator provided by a business customer (for example, a homeowner requesting an estimate).

In this policy, “personal information” has the meaning under the Privacy Act 1988 (Cth) and includes information about an identified individual or an individual who is reasonably identifiable.

2. What personal information we collect

The personal information we collect depends on how you interact with us.

(A) Website Visitors

We may collect:

  • IP address, device identifiers, browser type, operating system;

  • pages visited, session data, referral URLs, approximate location (derived from IP);

  • cookies and similar tracking data (see Section 7).

(B) Business Customers (Account and Subscription)

When you create and manage an account, we may collect:

  • name, email address, phone number;

  • business name, ABN (if provided), business address, billing address;

  • login credentials (passwords are stored in encrypted/hashed form where applicable);

  • account settings and configuration you input (e.g., pricing settings, service details);

  • communications with us (support requests, emails, messages).

(C) End Users (Estimator users)

When an End User submits an estimate request through an Estimator, we may collect:

  • name, email address, phone number (where requested by the business);

  • job details (e.g., job type, property details, scope information);

  • user responses to questions;

  • optional uploads (e.g., photos or attachments), if enabled by the business;

  • metadata such as time, IP address, device details (where available).

(D) Payment and billing information

We typically use Stripe to process payments. We do not generally store full credit card details. Stripe may collect and store payment details directly in accordance with its own policies.

3. Sensitive information

We do not intend to collect sensitive information (as defined under the Privacy Act) and ask that you do not submit sensitive information via the Website, Software or Estimator unless specifically required and you have a lawful basis to do so.

Business Customers must not upload sensitive information or confidential commercial secrets through the Software (as reflected in the platform rules).

4. How we collect personal information

We collect personal information in several ways, including when you:

  • visit the Website (cookies/analytics);

  • sign up for an account, start a trial, or subscribe;

  • configure your estimator, settings, inventory, labour or pricing information;

  • submit forms through an Estimator (End Users);

  • contact us for sales, partnerships, support or feedback;

  • integrate with third-party tools (where enabled).

Where practical, we collect personal information directly from you. However, End User data is often submitted to us through an Estimator operated by a business customer.

5. Why we collect, hold, use and disclose personal information

We may collect, hold, use and disclose personal information for the following purposes:

(A) To provide and operate the Software/Estimator

  • create and administer accounts;

  • enable Estimators to function and generate estimates;

  • provide outputs, breakdowns and explanations;

  • store and display leads/estimate records in the dashboard.

(B) To share End User enquiries with the relevant business customer

When an End User submits an estimate request, we provide the End User’s details and enquiry information to the business customer so they can follow up, contact the End User and provide services.

(C) To improve and develop our platform

We may use data (including personal information where necessary, and also anonymised/aggregated data) to:

  • maintain, debug and improve functionality;

  • develop new features;

  • generate analytics and insights;

  • improve internal machine learning or system performance, including using anonymised or aggregated data.

(D) To provide support and communicate

  • respond to enquiries and support requests;

  • send service messages (e.g., changes, outages, security notices);

  • manage customer relationship communications.

(E) For legal, compliance and security purposes

  • verify identity and prevent fraud;

  • enforce our Terms/EULA and protect our rights;

  • comply with applicable laws, lawful requests and regulatory obligations.

(F) Marketing (where permitted)

  • send marketing communications about Aidtrade (you can opt out at any time);

  • measure marketing performance and website conversion.

6. Disclosure of personal information

We may disclose personal information to:

(A) Business Customers (Service Providers)

If you are an End User, your enquiry and contact details will be shared with the relevant business customer that embedded or linked the Estimator, so they can contact you and provide a service.

(B) Our service providers

We may use third-party providers to help deliver the platform, such as:

  • cloud hosting and storage providers (including potentially outside Australia);

  • AI service providers used to process inputs and generate estimate-related outputs (where applicable);

  • payment processors (e.g., Stripe);

  • analytics providers, email/SMS delivery providers, customer support tools, and security vendors.

We only disclose personal information to service providers where reasonably necessary for them to perform services for us.

(C) Legal and regulatory disclosures

We may disclose personal information where required or authorised by law, including to courts, regulators, law enforcement agencies, or in response to lawful requests.

(D) Business transfers

If we are involved in a merger, acquisition, restructuring or sale of assets, personal information may be disclosed as part of that transaction, subject to confidentiality and applicable law.

7. Cookies, analytics and tracking

We may use cookies and similar technologies on our Website to:

  • operate and improve the Website;

  • understand usage patterns and performance;

  • measure marketing effectiveness.

You can control cookies through your browser settings. Disabling cookies may affect some functionality.

8. Overseas disclosures

We may store or process personal information using cloud infrastructure and third-party service providers that may be located outside Australia.

Where we disclose personal information overseas, we take reasonable steps to ensure the overseas recipient handles information in a manner consistent with Australian privacy requirements, where required.

9. Data security

We take reasonable technical and organisational measures to protect personal information from misuse, interference, loss, unauthorised access, modification or disclosure.

However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security. As noted in our platform terms, risks such as hacking, malware and unauthorised access can occur.

You are responsible for maintaining the confidentiality of your login details and ensuring authorised access only.

10. Data retention and deletion

We retain personal information only for as long as reasonably necessary to provide the Software/Estimator, comply with legal obligations, resolve disputes, and enforce agreements.

If a Business Customer account is terminated, associated user data may be deleted after termination (and Business Customers should maintain their own backups)  .

End User enquiry records may remain visible to the relevant business customer within their account unless and until deleted in accordance with account settings or retention policies.

11. Access and correction

You may request access to, or correction of, personal information we hold about you.

To do so, contact us using the details in Section 15. We may need to verify your identity before processing requests.

12. End Users: important note about the business you contacted

If you use an Estimator on a business’s website, that business will receive and use your information for its own purposes, including following up your enquiry.

That business’s handling of your information is governed by their own privacy practices. You may wish to review their privacy policy and contact them directly for questions about how they handle your data.

13. Marketing preferences

You may opt out of marketing communications at any time by:

  • using the unsubscribe link in emails (where provided); or

  • contacting us using the details in Section 15.

Even if you opt out, we may still send important service/administrative messages (e.g., security notices, billing notices).

14. Children

Our Website, Software and Estimator are not intended for individuals under 18. We do not knowingly collect personal information from children.
